Inviting A Guest

Of course, you can invite a guest-potential member or not-to any of our meetings! You are responsible for their meal ($10).

If your guest is a potential member, their first meal will be paid by the club.  Please use the quick downloads above to give them the Expectations of Membership and a Membership Application.

    Inviting A Speaker

    1. Think about a topic that would be interesting or a speaker you think is dynamic. Below are some ideas to help you choose a speaker for your assigned program date.  Don’t hesitate to schedule your speaker weeks and even months in advance.  The best speakers’ time books up early.
    2. Invite them to present to the club. Do you need help writing a letter or email to invite a speaker?  You’ll find a template below.
    3. PLEASE REMEMBER that your program is 30 minutes long, including Q&A.  If your speaker needs less than 30 minutes, you should schedule multiple speakers to fill the time.
    4. Upon confirmation, send the speaker the Club Fact Sheet and notify the Club President. It’s important that your speaker have an idea what they’re getting themselves into.  Download the Club Fact Sheet and email or print it for your speaker as it will help them prepare for visiting.
    5. Touch base with your speaker a week before their presentation to re-confirm.
    6. Show up at 7:00 the morning of the presentation to greet your speaker, help them set up materials and introduce them to club members.
    7. Be prepared to introduce your speaker in a manner that honors their time speaking to the club.

    Boilerplate text for inviting a speaker

    Hello _______________,

    Our Rotary club is interested in hearing about [name of project/program/etc]. Would you be interested in speaking at one of our weekly Tuesday meetings in Long Beach?

    I am securing a speaker for our meeting on [date] and hope that this would be a good time for you to join us. If you’d like to talk to us about [name of project/program/etc], but this date is inconvenient, please let me know of a Tuesday (or two) that might work for you and I’ll gladly do my best to accommodate your schedule.

    We’ll happily buy you breakfast, which begins at 7:30 am at the 42nd Street Café in Seaview. We ask that you arrive 15-20 minutes early so we can set up anything you may need for your presentation, which should run about 30 minutes, including Q & A time.

    The meeting concludes at 8:30 am.
    I hope you’ll seriously consider this opportunity to share with our club. Please don’t hesitate to contact me personally if I can answer any questions.
